Admin App Donations

Learn how to use the Auctria Admin App to record Paddle Raise, Dessert Dash, and other donations on event night.

Use the Donations tab to record a donation for a guest. The donation is saved to your event right away.

No Payment Is Taken Here

Recording a donation doesn't charge the guest. The donation is added to the guest's account, and the guest pays at checkout. See Admin App Checkout.

Open the Donations Tab

  1. Tap Record in the navigation bar.

Dessert DashDonations made by guests on behalf of their table.
Other DonationsAny other donation, to a donation item or directly to your organization.

Record a Paddle Raise Donation

  1. Under Select Donation Level, tap the amount the guest pledged. If the amount isn't listed, tap Custom Amount and enter it.
  1. Enter the guest's name or paddle number in Name / Paddle #. You can also tap SCAN to scan the guest's QR code.
  2. Check the Amount total beside the save button.
  3. Tap Record Donation.

The donation appears in the recently recorded donations list.

Record the Next Guest Faster

The donation level stays selected after you save. When several guests raise their paddles at the same level, just enter the next guest and tap Record Donation again.

Add a New Donation Level

To add a level that isn't listed, tap Add New Level.

New Levels Are Added to the Whole Event

Add New Level permanently adds the level to your event's Paddle Raise levels. Everyone recording donations will see it. To record a one-time amount for a single guest, use Custom Amount instead.

For more about Paddle Raise, see Paddle Raise Dashboard.

Record a Dessert Dash Donation

Dessert Dash donations count toward the guest's table. Your event needs tables set up. See Tables And Seating.

  1. Leave Table # set to Auto. The app uses the guest's assigned table.
  2. Enter the guest's name or paddle number in Name / Paddle #, or tap SCAN.
  3. Enter the Amount.
  4. Tap Record Donation.

The donation appears in the recently recorded donations list.

How Auto Works

With Table # set to Auto, the app records the donation to the Dessert Dash item for the guest's table. Dessert Dash items are numbered DD plus the table number. For example, a guest at table 5 donates to item DD5.

If the guest isn't assigned to a table, the app shows Guest is not seated at a table. Choose the table from Table # instead. This always happens for a guest you just added with New Guest.

For more about running a Dessert Dash, see Dessert Dash Dashboard.

Record Other Donations

  1. Under Select a Donation Item (Optional), tap the donation item. To donate directly to your organization, tap Skip Donation Item.
  1. Enter the guest's name or paddle number in Name / Paddle #, or tap SCAN.
  2. Enter the Amount.
  3. Tap Record Donation.

The app shows Donation recorded!

No Donation Items?

If your event has no donation items, the app skips step 1 and goes straight to the guest and amount. The donation goes directly to your organization.

Add a Guest While Recording

If the guest isn't registered yet, you can add them from any donation form.

  1. Tap New Guest. The Add New Purchaser form opens.
  2. Enter the guest's Last name. Fill in any other details you have.
  3. If the event requires a meal choice, choose one under Meal Choice.
  4. Tap Save & Assign. The new guest is selected on the donation form.
  5. Finish the donation and tap Record Donation.

The Guest Is Saved With the Donation

The new guest isn't created until you tap Record Donation. If you leave the form before then, the guest isn't saved.

Undo a Donation

Paddle Raise and Dessert Dash show a list of recently recorded donations below the form. The list only shows donations recorded on this device since you opened the screen.

To remove a donation recorded by mistake, tap the trash icon on its row.

Removing a Donation Can't Be Undone

Check the guest and amount before you tap the trash icon. To restore a removed donation, record it again.

You can't remove a donation from the app if:

  • It's an Other Donations entry.
  • It was recorded on another device, or before you opened the screen.

Ask an event administrator to correct it on the dashboard.

Tips

  • Tap Reset to clear the form without saving.
  • Confirm the guest and amount before you save.
  • Use preset levels for Paddle Raise instead of Custom Amount to save time.
  • Assign one volunteer to record each donation type, so entries keep pace with the room.

Troubleshooting

If a donation can't be saved, the app shows Error Recording Donation with the reason.

ProblemWhat To Try
Guest is not seated at a tableChoose the table from Table #, or assign the guest a table on the dashboard.
The guest doesn't appearCheck the spelling or paddle number, or tap SCAN. If the guest isn't registered, tap New Guest.
The level you need isn't listedUse Custom Amount. Only use Add New Level if the level should be available to everyone.
You recorded a donation on the wrong guestUse the trash icon if it's in the recent list. Otherwise, ask an event administrator to correct it on the dashboard.

Try And Force Bid

The error message may offer Try And Force Bid. This saves the donation even though it breaks a rule. Use it only when you're sure the donation is correct, or ask an event administrator first.
