Connect Auctria to your other tools — move data in and out with Import/Export, or trigger real-time notifications with Automations.
Auctria offers two main paths for connecting your event to outside tools and data. Which one you need depends on what you're trying to do:
- Moving a batch of data in or out of Auctria (like a spreadsheet of bidders)? See Import/Export.
- Sending a real-time notification the moment something happens in Auctria (like a sale)? See Automations.
You can also use both together — for example, importing your donor list at the start of an event, and using Automations to notify staff of activity throughout the event.
Which One Do I Need?
| If you want to... | Use... |
|---|---|
| Upload a spreadsheet of participants, items, or donors | Import/Export |
| Update existing records in bulk from a file | Import/Export |
| Export event data to Excel for reporting | Import/Export |
| Get a Slack or email alert when a sale happens | Automations |
| Notify staff in real time about specific transaction types | Automations |
| Connect Auctria to Slack, Gmail, or Google Calendar | Automations |
Import/Export
Import/Export handles bulk, on-demand data transfer between Auctria and a spreadsheet or Google Sheet. Use it when you need to:
- Bring in a list of participants, items, donors, or expenses from an existing spreadsheet
- Update existing records in bulk (for example, correcting paddle numbers or item details)
- Pull data out of Auctria as an Excel file for reporting, mailing, or use in another system
Good to Know
Import/Export moves data in discrete batches that you trigger yourself — it doesn't run automatically or in real time. If you need Auctria to notify another tool the instant something happens, see Automations below instead.

Automations
Automations is a lightweight, real-time notification layer built on Zapier. Use it when you need to:
- Notify a Slack channel or send an email the moment a sale or registration happens
- Connect Auctria events (sales, registrations, item activity, transactions) to tools like Slack, Gmail, or Google Calendar
- Filter notifications down to specific conditions (like only sponsorship-level sales)
Good to Know
Automations is not a full CRM integration or a way to move historical or bulk data — it's built for ongoing, event-triggered notifications going forward. If you need to move existing records in bulk, use Import/Export above instead.
